Informal Discussion Letter
This Informal Discussion Letter is used after an employer has discussed an employee’s grievance informally.
It confirms what was discussed and records any action agreed following that conversation.
When to Use This Informal Grievance Follow-Up Letter
Use this letter where a grievance has been raised and discussed informally, and the employer wants a clear written record of the discussion and any agreed next steps.
It is most useful where the issue can be addressed without moving straight into a formal grievance process.
Informal Resolution Under the ACAS Grievance Code
The ACAS Code of Practice says that grievances should, where possible, be dealt with informally first.
- use informal discussion where the issue can be resolved quickly and reasonably
- move to the formal grievance procedure where the matter is more serious
- use the formal process where the employee has already tried to raise the issue informally without success

The ACAS Code of Practice is not compulsory. However, Employment Tribunals may adjust awards by up to 25% where an employer or employee has unreasonably failed to comply with it.
