Veterinary Surgery Terms and Conditions

BS.TC.03

These Veterinary Surgery Terms of Business are designed for use by veterinary practices dealing primarily with domestic animals and pets.

They cover the main aspects of a surgery’s relationship with its customers, from booking appointments and providing treatment to keeping records and collecting payment.

This document has been updated for Brexit. References to the GDPR have been replaced with a simpler cross-reference to a Privacy Policy. A range of Privacy Policy templates is available in our UK GDPR and Data Protection group.

When to Use These Veterinary Surgery Terms

This template should be used where the surgery’s customer is a consumer within the meaning of the Consumer Rights Act 2015.

It is intended for face-to-face veterinary services rather than online treatment. Where veterinary services are provided online, the appropriate document is the Website Terms of Sale - Online Veterinary Services (B2C) template in the Online Professional Services Website Terms of Sale (B2C) subfolder.

Consumer Contracts and Cancellation Rights

These terms are suitable for on-premises, off-premises, and distance contracts under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

The Regulations require certain information to be given before a customer books an appointment or arranges treatment. For off-premises and distance contracts, they also give the customer cancellation rights, which are reflected in the terms.

Flexible Options for Veterinary Practices

The template includes optional provisions to reflect the additional services that some practices may offer.

  • Walk-in clinic arrangements
  • Call-out visits
  • Assistance with pet insurance claims
  • Requests by pet owners for documents held by the surgery about their pets

Key Commercial and Regulatory Points

Payment is structured by reference to a separate price list, allowing flexibility over pricing.

The terms also include broad reference to key laws, rules, and regulations relevant to the provision of veterinary care. Those using this template should ensure that this clause remains up to date as the law changes over time.

The document covers the main legal and practical issues arising in veterinary practice terms, including appointments, fees and payment, estimates, treatment, records, animal health insurance, liability, data protection, complaints and standards, and governing law and jurisdiction.
