Information Letter for New Occupation Contract

This Information Letter for New Occupation Contract is for use by a residential landlord or letting agent who has recently granted a new occupation contract of a dwelling in Wales. This letter should be printed on the landlord’s or letting agent’s headed paper and sent to the contract-holder(s) as soon as possible after the grant of the occupation contract.

Landlords in Wales are required to provide certain information and documentation to their new contract-holders before or at the start of an occupation contract. Failure to provide some of the material can lead to the landlord being unable to serve a valid Section 21 Notice to terminate the occupation contract at a later stage. 

The letter also includes a statement that the smoke and carbon monoxide alarms were checked and in working order. This clause is optional but is included for best practice as it provides a record that checks have been carried out and that the contract-holder has been shown how to carry out the ongoing monthly tests of the alarms.

This template letter allows either for the documents to be enclosed or for the landlord to confirm that they have already been provided, when and by whom.

The contract-holder is asked to sign a copy of the letter and return it to the landlord to confirm receipt. The landlord must remember to send the contract-holder two copies of the letter and a stamped addressed envelope.
