Holiday Accommodation Inventory form Template

PROP.HOL.04

This Holiday Accommodation Inventory Form is for use by landlords, holiday-let owners, property managers and letting agents to record the contents, condition and cleanliness of a holiday property at the start and end of a guest's stay.

It can be used for all types of holiday accommodation and short-term lets, including holiday cottages, houses, flats, apartments, lodges and caravans.

What Is A Holiday Let Inventory?

A holiday let Inventory is a written record of what is provided at the property and the condition it is in before a guest arrives. It provides a useful baseline against which the condition of the property and its contents can be checked after the guest's stay.  A detailed inventory can help identify missing, damaged or broken items and provide a clear record if there is a disagreement about the condition of the property or the return of a guest deposit.

Why Use A Holiday Rental Inventory?

A good holiday rental Inventory checklist can help you:

  • Record the furniture, fixtures, fittings and other contents provided;
  • Record the condition of rooms, furnishings, appliances and equipment;
  • Record existing marks, damage or defects before the guest arrives;
  • Record cleanliness and the general condition of the accommodation;
  • Provide a clear comparison between check-in and check-out;
  • Identify missing or damaged items following a guest's stay; and
  • Keep a written record that can help resolve disagreements about damage or deposit deductions

Keeping a clear inventory and supporting it with photographs can provide useful evidence if a dispute arises.

What Does This Template Include?

This Holiday Accommodation Inventory Form provides space to record the condition and contents of the property on a room-by-room basis.  You can use it to record items such as:

  • Furniture and furnishings;
  • Kitchen equipment and utensils;
  • Electrical appliances;
  • Beds and bedding;
  • Bathroom fittings and accessories;
  • Decorative items;
  • Outdoor furniture and equipment; and
  • Keys and other items provided to guests

The form can be adapted to suit the particular holiday property and the items provided to guests.  The Inventory should be completed before or at the beginning of the guest's stay, providing a clear record of the property's condition when the guest takes possession.

If your booking terms require a guest to pay a deposit or provide for charges relating to damage, the inventory can help you establish the condition of the property before and after the stay.  Any deduction or charge should, however, be consistent with the applicable booking terms.

This Holiday Accommodation Inventory Form is in open format. Either enter the requisite details in the highlighted fields or adjust the wording to suit your purposes.
