Frequently Asked Questions

What information must a UK invoice include? +
If you are VAT registered you must issue a full VAT invoice, which has to show a unique sequential number, the invoice date and the tax point, your business name, address and VAT registration number, the customer's name and address, a description of the goods or services, the VAT rate and amount for each item and the total VAT in sterling. If you are not VAT registered, an invoice should still show your details, a number, the date, a description and the amount due.
Do I need to be VAT registered to send an invoice? +
No. Any business can issue invoices. Only VAT registered businesses charge VAT and must issue VAT invoices showing the VAT details. You must register for VAT once your VAT taxable turnover passes £90,000, and you can register voluntarily below that. If you are not registered, do not show or charge VAT on your invoices. These templates include variants to suit both situations.
Are there different invoices for goods and services, and for companies and sole traders? +
Yes. The invoice templates include variants for goods and services, for limited companies and for sole traders, and they cater for discounts. Choosing the version that matches your business and what you supply means the layout and fields already fit, so you spend less time adapting them.
Can I put terms and conditions on my invoice? +
Yes. Terms and conditions designed for printing on the reverse of an invoice are available, and they are a useful place to state your payment terms, when payment is due and your right to charge interest and costs on late commercial payments. Clear terms on the invoice help you enforce payment and reduce disputes about what was agreed.
When should I invoice, and what payment terms apply if I have not agreed any? +
Invoice promptly once you have supplied the goods or services, because the payment clock often runs from the invoice or delivery. If you have not agreed a payment date for a commercial transaction, the law treats payment as late 30 days after the customer receives the invoice or the goods or services are provided, whichever is later, after which you can charge statutory interest. Agreeing clear terms up front avoids doubt.
